We're looking for a highly organised and proactive Contract Administrator to support the smooth day-to-day operation of our Utilities & Inland Waterways contracts.
This is a fast-paced role where you'll work closely with operational teams, clients, suppliers and internal stakeholders to ensure administrative processes, purchasing, invoicing and reporting activities are delivered accurately and on time. You'll play a vital role in supporting contract performance while providing outstanding customer service and helping drive operational efficiency.
What You'll Be Doing
Contract & Administrative Support
Manage customer, client and internal enquiries, ensuring they are resolved promptly and professionally.
Support the wider operational team with day-to-day contract administration.
Prepare and issue client reports, quotations and communications to agreed timescales and standards.
Attend client and internal meetings and provide updates on ongoing activities and actions.
Purchasing & Financial Administration
Process purchase orders and invoices accurately and within agreed timescales.
Support the invoicing process across the region, resolving or escalating queries where required.
Maintain accurate records of purchasing and financial information.
Apply strong commercial awareness when reviewing requests and following company procedures.
Data & Systems Management
Maintain accurate operational and financial data across internal and client systems.
Ensure client systems are updated within agreed contractual service levels.
Produce clear and accurate records to support reporting and decision-making.
Support permission processes, including issuing documentation and stakeholder communications where required.
Customer Service & Problem Solving
Deliver exceptional service to clients, field teams and internal stakeholders.
Proactively identify issues and work to resolve them quickly and effectively.
Escalate concerns appropriately while recommending practical solutions.
Support colleagues across the wider team to ensure continuity of service during periods of absence or increased workload.
What We're Looking For
Essential
Strong administrative experience within a busy operational or commercial environment.
Excellent organisational and time management skills with the ability to manage competing priorities.
Strong IT skills, particularly in Microsoft Outlook, Excel and other Microsoft Office applications.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Commercial awareness and a proactive approach to problem-solving.
Ability to work independently while collaborating effectively within a team.
Desirable
Experience working within a contracts, utilities, construction, grounds maintenance or field service environment.
Experience using client management, financial or operational systems.
Knowledge of purchasing, invoicing and supplier management processes.
Experience using Power BI or other reporting tools.
