We’re looking for a Client Services Administrator to support service delivery within a busy facilities management operation. This is a varied, admin-focused role where you’ll work closely with an Area Manager, playing a key part in keeping services on track and clients supported.
You’ll be joining a collaborative, close-knit team in a fast-moving environment, where strong communication, teamwork, and a proactive approach are key to success.

What you’ll do;
Take ownership of day-to-day client service administration while supporting an Area Manager and wider operational team. Your responsibilities will include:
Client & stakeholder support
Support an Area Manager in delivering services across the Southern region
Build and maintain strong relationships with Facilities Managers via email and phone
Act as a key point of contact for day-to-day queries and updates
Operational coordination
Raise and manage work orders, quotes, and approvals
Coordinate scheduling and provide updates to field teams, including ETAs
Support reactive maintenance activity and seasonal service requirements
Portal & systems management
Maintain client portals with accurate and up-to-date information
Upload completion records, documentation, and cost variations
Monitor job progress and ensure timely updates in line with SLAs
Inbox & workload management
Manage shared inboxes and system queues effectively
Work across multiple systems including CRM platforms, Teams, Excel, and portals
Prioritise tasks based on urgency and service requirements
Performance & compliance
Ensure all tasks are progressed in line with agreed timeframes
Maintain accurate records and consistent communication
Support delivery against KPIs and service standards

What we’re looking for;
Previous experience in an administrative or coordination role
Strong organisational skills with the ability to prioritise effectively
Confident using systems such as CRM platforms, portals, Teams, and Excel
Strong communication skills with the ability to build relationships
A proactive, self-motivated approach
Ability to work independently and take ownership
Comfortable working in a fast-paced, deadline-driven environment
High attention to detail and accuracy
