About the Role
As a Client Services Administrator, you’ll be the first point of contact for both internal and external stakeholders, providing prompt and professional support to enhance the client experience. Working closely with Account Managers and Contract Managers, you’ll ensure client communication is seamless and processes run smoothly. This hybrid role offers a balance of in-office collaboration (three days per week) and remote flexibility.
Key Responsibilities
- Front-Line Support: Answer client and colleague queries promptly (calls, inbox, and portals), logging all interactions and escalating where necessary.
- Tender & Quote Management: Log, edit, and send tenders/quotes within agreed timeframes, ensuring accuracy and clear communication with clients and Contract Managers.
- Purchase Orders: Process and check POs, update internal systems (ICE2/Dynamics), raise visits, and notify relevant stakeholders.
- Systems & Portals: Maintain Dynamics, ICE2, and client portals with accurate data, documents, and updates in line with SLAs.
- Inbox & Query Management: Jointly manage the shared inbox, allocating and actioning tasks in line with SLAs.
- Project Ownership: Take responsibility for at least one client-focused project per year, driving improvements and innovation.

What We’re Looking For
Skills & Experience:
- Proven background in client service, administration, or coordination.
- Ability to build and manage strong client relationships while delivering excellent service.
- Confident communicator, able to engage effectively with stakeholders at all levels.
- Proficiency in Microsoft Office (Excel, Power BI, Teams) and experience with CRM/portal systems.
- Highly organised, accurate, and able to prioritise competing demands.
